This Privacy Policy explains how RecallAI ("we", "us", "our") collects, uses, and protects information when you use our website (recallai.eu) and services. We are committed to full compliance with the General Data Protection Regulation (GDPR).

2. What Data We Collect
On our website (recallai.eu):
- Name, email address, phone number, and company name — when you submit the free audit form
- IP address and browser data — collected automatically via standard server logs
- Cookies — minimal, functional cookies only (see Section 7)
As a service provider to business clients:
- Call recordings provided by our clients for analysis
- Transcripts and AI-generated summaries of those calls
- Caller phone numbers and call metadata
We act as a Data Processor on behalf of our business clients (Data Controllers) when processing call data. We do not collect or use end-customer data for our own purposes.
3. How We Use Your Data
- To respond to your audit request and contact you about our services
- To provide and improve our call analysis platform
- To send automated follow-up messages on behalf of our clients (SMS/WhatsApp)
- To update our clients' CRM systems with call summaries
- To comply with legal obligations
4. Legal Basis for Processing

5. Where Your Data Is Stored
All data is processed and stored within the European Union. We use the following sub-processors, all of which are GDPR compliant:
- Google Gemini API — AI transcription and analysis (EU data processing)
- Twilio — call recording infrastructure (EU region)
- Infobip — SMS delivery (EU headquartered)
- HubSpot — CRM integration (EU data center available)
- n8n — workflow automation (self-hosted, EU server)
- Formspree — form submissions (EU compliant)
6. Data Retention
- Call recordings — deleted immediately after transcription and analysis is complete
- Transcripts and summaries — retained for the duration of the client contract, then deleted within 30 days of contract termination
- Website inquiry data — retained for 12 months or until you request deletion
7. Cookies
We use only essential functional cookies necessary for the website to operate. We do not use tracking cookies, advertising cookies, or third-party analytics cookies. No cookie consent banner is required for essential cookies under GDPR.
8. Your Rights Under GDPR
As an EU resident, you have the right to:
- Access — request a copy of your personal data we hold
- Rectification — correct inaccurate data
- Erasure — request deletion of your data ("right to be forgotten")

Business clients who use RecallAI to process personal data of their customers (including call recordings) are required to sign a Data Processing Agreement before the service goes live. This agreement defines the roles, responsibilities, and safeguards in place to ensure GDPR compliance.

10. Security
We implement appropriate technical and organisational measures to protect your data, including:
- Encrypted data transmission (HTTPS/TLS)
- Access controls limiting who can view client data
- Isolated per-client credentials and data storage

Our services are not directed at individuals under the age of 18. We do not knowingly collect personal data from minors.
